Office Manager/Bookkeeper Position
About your prospective employer:
Our company is a successful and well established collision repair facility in Encinitas. We stay busy while keeping stress levels to a minimum. We enjoy our work, and we want whomever we hire to feel the same way. We also do our best to be kind & considerate to all of our employees.
We have a modest five person non-smoking and air-conditioned office, which we like to keep organized and clean. Our computers run Windows XP Pro, have DSL Internet access, and are upgraded annually. We have a modern Lucent Partner phone system with voice mail, and each employee has their own extension. For comfort, all workstations are ergonomically adjustable to suit individual needs, and we have a Radio/CD player for background music. Bottled water, coffee, a shared refrigerator and microwave are handy as well.
Office Manager Job Description
At this time, the office staff consists of five people. As office manager, you would be working with the owner-managers of the company as well as estimators and assistant managers.
As Office Manager, we are looking for a person that:
| is personable, efficient, conscientious, and organized. | |
| has the aptitude to solve minor problems without help. | |
| is a fairly accurate ten-key and touch typist. | |
| has working knowledge of QuickBooks as well as basic accounting abilities | |
| would be considered computer literate, and is familiar with common Windows XP Applications. | |
| likes to learn new tasks, and desires increased responsibilities. | |
| has a safe and readily insurable driving record, as well as access to a dependable car. |
The primary job responsibilities are:
| greeting, assisting, and conversing with customers by phone and in person. | |
| starting repair orders and scheduling work. | |
| accounts payable & accounts receivable data input. |
Other less frequently performed responsibilities are:
| billing, filing, cutting checks, and banking. | |
| organizing and updating records. | |
| writing office correspondence using a Windows word processor. | |
| spreadsheet creation and reporting. | |
| occasional errands. |
There are also these bookkeeping duties which include:
| data input for semi-monthly automated payroll. | |
| electronic payments of payroll taxes and forwarding of 401K deposits. | |
| making up and recording deposits. | |
| processing, tracking, and reconciling credit card receipts. | |
| bank reconciliation. | |
| paying the bills. |
Possible future job duties (not required):
| starting and preparing damage estimates. | |
| quarterly sales tax and payroll tax reporting. |
| performing more complex bookkeeping tasks. | |
| and more! |
Office Manager Pay, Hours & Benefits
This is a full time (5 days/week) position.
| The pay rate is $18.00 per hour (the hourly rate may be revised depending on skill level, experience, etc.) | |
| Semi-Flexible 8 hour per day working schedule. We are open Monday through Friday from 7:30am to 5pm. | |
| Paid Health Insurance (choose from PPO, HSA, or HMO). | |
| 10 paid holidays (New Years Day (2), Presidents Day, Memorial Day, Independence Day, Labor Day, Thanksgiving (2) Christmas (2)). | |
| 10 paid vacation days (every year after second year-5 days after first year only). | |
